PLEASE READ THIS ACKNOWLEDGEMENT, WAIVER AND RELEASE FROM LIABILITY AND ACCOMPANYING TERMS & CONDITIONS CAREFULLY BEFORE FINALISING WITH YOUR ONLINE ENTRY:

Definitions:

  1. "The Event" is The 2024 Queen Street Golden Mile to be held 1 April, 2013.
  2. "Event Promoter" is Fyfod Limited
  3. "Event Organisers" are Campaign Strategic limited and SMC Events Ltd
  4. "Event Partners" includes Athletics Auckland, Auckland Council, Waterfront Auckland, Traffic Management NZ Ltd, Network Visuals Ltd, Time It, Sky TV, Radio Network, BMW New Zealand and any other third party providing services, logistics , venues, infrastructure or materials and goods to the event on a contracted, permitted or approved basis.
  5. "Event Sponsors" include all companies and organizations sponsoring or providing goods and services to the event by way of sponsorship, including but not limited to, naming sponsor, major sponsors, supporting sponsors, presenting sponsors, media partners, broadcasters and other third parties contracted as sponsors.
  6. "Event Officials" includes all traffic officials, course marshals and security personnel, Athletic officials, representatives of the Event Organisers and any other person given official status by the Event Organisers for the event.
  7. "Event Participant" is any individual or team of individuals, entering the Queen Street Golden Mile event.
  8. "Races" are the separate mile races that are run during the event, including public, corporate, athletic and promotional mile races plus the Men’s and Women’s International Queen Street Golden mile race.

The following is agreed to by the Event Participant:

  1. I understand that competing in the event involves running on public roads and Queens Wharf used by other people and traffic and I am aware of the hazards involved. The hazards include but are not limited to: vehicle traffic, pedestrian traffic, actions of competitors, spectators, event personnel, weather conditions and my physical and mental state of health. In my sole judgement I have sufficient competence and experience to participate safely.
  2. I certify that I am physically fit, have sufficiently trained for participation in this event and I have not been advised otherwise by a qualified medical person.
  3. I certify that I will be 16 years of age on or before 1 April 2013
  4. I will follow the course set out for my event, abide by the road, wharf and event rules, and follow the instructions given to me by event officials, at all times. Failure to comply in any way with these matters may lead to me being pulled from the event and disqualified.I acknowledge that failure to comply in any way with these rules and instructions may lead to me being removed from the event and disqualified.
  5. I will wear the official event number with incorporated timing transponder/chip as directed by the Event Organisers.
  6. I acknowledge that the Event Organisers reserve the right to alter the advertised course or start time at their absolute discretion. I consent  to being stopped anywhere on the course during the event at the absolute discretion of the Event Organisers, an engineer or a NZTA technical representative with delegated authority who is in direct communication with the course marshals, and then directed to continue in a safe manner according to the circumstances at the time.
  7. Should the event be cancelled, delayed or stopped for any reason, or personal circumstances arise that prevent me from participating in, or completing, the event, I acknowledge that my entry fee is non-refundable
  8. I:
    1. Accept complete responsibility for any injury, damage, loss of any description  to me or my property during the course of, or as a consequence of, or in any way associated with the event.
    2. Waive any right to take action against any individual, group or organization involved with or engaged in the promotion or staging of the event.
  9. I acknowledge that the Event Organisers reserve the right to alter the advertised course or start time (at their absolute discretion). I agree to being stopped anywhere on the course at the absolute discretion of the Event Organisers, an engineer or a NZTA technical representative with delegated authority who is in direct communication with the course marshals, and then directed to continue in a safe manner according to the circumstances at the time.
  10. I consent to my receiving any medical treatment that may be deemed necessary by event officials in the event of my injury, accident or illness during the event.
  11. I authorise the use of my name, voice and picture and any information provided by me on this entry form to be used without payment in any broadcast, telecast, communication, promotion, or advertising, and I also agree that the information I have provided may be used by the Event Promoters & Event Organisers for the purpose of promoting future or other events or for the promotion of the event charity, event sponsors products and services.
  12. I acknowledge that the Event Organisers have the absolute discretion in accepting my entry, which may be revoked at any time at the absolute discretion of the Event Organisers for any reason, and in the determining of any results, prizes, prize money, prize moneys jackpot or third party prize or award and I will abide fully and without dispute with all such decisions of the Event Organisers.
  13. I have read all the Race and Safety Information, rules and conditions detailed in this waiver and as detailed on the event website www.queenstreetmile.co.nz and I agree to adhere to these rules and conditions at all times.
  14. Payment of entry into the event means I am an Event Participant in the Queen Street Golden Mile 2013 and that I Have read and accepted the conditions of entry.
  15. By accepting these Terms & Conditions and Waiver at time of Registration, the Event Participant, and/or the Parent or Guardian of the Event Participant aged between 16 & 18 years , and/or the Team Manager of each Corporate Team is deemed to have accepted and signed on behalf of each Event Participant being registered by them, and each Event Participant so registered is deemed to have given a personal Waiver and accepted the Terms and Conditions in full.

AGE LIMIT

The minimum age for participation in the event is 16 years as at 1 April 2013. All participants between the ages of 16 and 18 years must have a Parent or Guardian accept the Acknowledgement, Waiver, Release from Liability & the Terms and Conditions of Entry and accept full responsibility for the participation in the event of the Event Participant being under 18 years of age. Acceptance of the Waiver & Terrms & Conditions when making payment online, is deemed to have been an acceptance by a Parent or Guardian.

ENTRY LIMIT

 

Due to safety considerations, the total number of entries is limited to 3,500 for individuals from the public and 500 individuals in Corporate Teams in the event (‘the entry limit”).

Ensure you enter early to avoid disappointment. Entries will be accepted on a first-come, first-served basis, and those entries received after the limit has been reached will be returned with their entry fee in full. There is no waitlist. The organisers reserve the right to refuse any entry.

 

LATE ENTRIES

Entries close on the earlier of 10 March 2013 or the entry limit being fully subscribed. If the entry limit has not been fully subscribed by 10 March 2013, late entries will be accepted online and by post until the earlier of 5pm, 29 March 2013 or the entry limit having been fully subscribed.

WITHDRAWALS

Entry Fees for accepted entries are non-refundable after 5:00pm 1 March 2013. In the event of a withdrawal prior to this date, $20 of the entry fee will be retained by the Event Organisers to cover administration and handling costs for each withdrawal. Entries can only be withdrawn if notice is received in writing or by email before 5:00pm 1 March 2013. ENTRY TRANSFERS

At the absolute discretion of the Event Organisesr, Event Participants can transfer their entry to another party up until 5:00pm 10 March 2013 provided that the transferring Event Participant has paid the entry fee in full and upon the payment of a single $20 online transfer fee. Entries transferred without permission of the Organisers will be invalid and will lead to disqualification. Transfer requests must be made either in writing or by email to the Organisers prior to 5 pm 10 March 2013.

CERTIFICATES

Certificates and race results will be emailed to event participants within one month of the event.

MEDALS

Medals for 1st, 2nd and 3rd will be presented to the fastest male and female public individual runners - a medal with a neck ribbon will be presented at the finish of the Individual Public Event. It is important that individual public participants who believe they have a competitive time stay within the Cloud on Queens Wharf to hear announcements of the fastest public individual runners. Team medals and a Corporate Challenge cup will be presented to the winning corporate team. The combined time of the slowest 4 members of each 5-member corporate team will determine each team’s time. The corporate team with the fastest combined time will be the winning team. Medals for 1st, 2nd and 3rd will be presented to the winners of all other events - a medal with a neck ribbon will be presented at the finish of each event.

It is important that individual public participants who consider they have a competitive time stay within the Cloud on Queens Wharf to hear announcements of the fastest public individual runners.  No responsibility is accepted by any individual, group or association involved with or engaged in the promotion or staging of the event should an Event Participant not hear or miss any such announcement.

ATHLETICS AUCKLAND

Athletics Auckland and The Event Organisers cannot reserve entries for registered athletes wishing to enter the Athletic races in the Event. Athletes will be invited in order of their ranking based on their performance in the athletic season leading up to the event. Additionally,  athletes registered with Athletics NZ can register an interest now in running in one of the athletic events, A field will be drawn in March 2013, after acceptance first of ranked athletes, on a first come, first served basis with season's performance part of the consideration. Please note the athletic mile events are separate events within the Queen Street Golden Mile and require separate registration of interest, available on the website at “Athletic Register”. Different entry fees apply to the athletic events compared to the public run, as listed in the "Athletic Register".

CONFIRMATION OF ENTRY & REGISTRATION

An emailed confirmation of entry will be automatically emailed to all entrants who successfully complete their online entry and to those entrants who provide an email address on the paper entry form. If you do not receive your email confirmation within 3 days of having made your application or find that your details on the email confirmation are incorrect, please advise us atl [email protected] ASAP.

Fields for the athletic age group events will be drawn by March 10, 2013. (refer Athletics Register on the website).

TIMING SYSTEM

You will be issued an official race bib with event number and RFID timing chip when you pick up your Race Pack at Registration. This will ensure your time is recorded on your Race certificate.You must wear your race number with timing chip to subsequently receive a certified time by email.

RACE PACK COLLECTION

All participants must bring their email confirmation and photo ID with them to collect their Race Number and Race Pack from Race Headquarters, between the following hours:

  • Thursday 28 March 2013 4:00pm to 7:00pm
  • Saturday 30 March 2013 10:00am - 3:00pm

Race Packs include your Race Number, RFID timing chip. Participants may collect other participants race packs provided they bring their own photo ID and the email confirmation of the other participant with them. Please note if you are collecting multiple race packs you will cause delays and this is not encouraged. All participants will be advised of their race number and the Race Headquarters collection address by 1 March 2013.

START & FINISH

The Individual Public Mile and the Corporate Team Challenge events will start as individual events. Runners will be released at the start in groups of between 30 and 50 (10 teams of 5 persons). Subject to the event contingency plans, event conditions, and the approval of the Traffic Management Plan, there will be staggered start times which will be advised to you in your racepack. You are therefore required to be at the Event Assembly Location at your allotted assembly time, which is prior to your start time. All other events will take place at the times advised in the race packs.

Event Assembly Location – Street level Car Park alongside the Mayoral Drive overbridge, entry on lower Pitt Street.

Start times will be finalised as soon as the final Traffic Management Plan has been approved by the relevant authorities. Please see the event website for confirmed general start times closer to the event. Event start times will also be provided for each event participant in their race pack. It is the responsibility of the participant to know the correct start time for their chosen event. All events finish on Queen’s Wharf.

SAFETY INFORMATION

While the Event Organisers have taken every reasonable measure to ensure your safety, as a participant of the Queen Street Golden Mile you are responsible for your own safety and enter this event at your own risk. It is important that you read the following Safety message in conjunction with your Waiver and Declaration and adhere to each of the safety guidelines of the event:

  • The course that you will run along consists of a public roads and thoroughfare.
  • These roads are not closed to pedestrian traffic. Please treat all roads as OPEN to all pedestrian traffic at all times.
  • Where cones or barriers are erected, run within the space provided
  • At all times you must remain on the sealed road surface, not on footpaths.
  • Participants that persist in running outside of the road surface will be removed from the event for their own safety and the safety of the public.
  • Please be aware of official vehicles on the course.
  • At all intersections on the course a marshal, and where necessary, a Police Officer will be stationed.
  • If you are instructed to stop anywhere along the course by either a marshal or a Police Officer you must obey this request.
  • If you have a medical condition that may require attention please ensure you have your doctor’s clearance before entering this event.
  • Please complete the section on the back of your race number with your name, any medical conditions, and importantly, a contact name and phone number (someone other than yourself that will be contactable on the day) in case of emergency.
  • Portaloos and minor first aid support are available at the Queens Wharf finish area.
  • At all times please obey the instructions of marshals and Police Officers and beware of vehicular traffic.
  • Any participant who fails to obey the instructions of either a marshal or the Police will be removed from the event.
  • Please obey all traffic laws and regulations at all times.

WHEELCHAIRS, CYCLES, ROLLER BLADES, PRAMS/ BUGGIES, SKATE-BOARDS, WALKING STICKS

In consultation with local authorities, and in accordance with the Traffic Plan - due to considerable safety and logistical concerns on the course, all forms of wheeled conveyance including but not limited to wheelchairs, cycles, roller blades, prams/buggies, skate-boards and walking sticks etc are not permitted to enter or participate in the public, corporate or athletic events. It should be noted however, that Registered Wheelchair athletes are permitted to enter or participate in their own dedicated Queen Street Golden Mile event.

GEAR BAGS AND PERSONAL EFFECTS

Each Event Participant takes total responsibility for their own gear bags and personal effects. There is no provision for storeage and collection at the Start or Finish. I an Event Participant leaves their personal effects with another person prior to starting the event and wishes them to meet with the Event Participant at the finish, that person will have to purchase a ticket for entry on to Queen’s Wharf. These tickets ($15 and online) are sold via the website and will be open for sale for at least two months prior to the event. The Queen’s Wharf area has public viewing and food and beverage facilities as well as some exhibition activities. Event Participants are automatically provided entry to Queen’s Wharf and may leave and return by presenting their race number.

ADDITIONS TO TERMS AND CONDITIONS

The Event Promoters and the Event organizers reserve the right to make additions as necessary to these terms and conditions. Alterations will be psoted to the website from time to time and the Terms and Conditions that will finally apply to the event will be those posted on the website as at 1 March 2013. A copy of these Terms and Conditions will be enclosed in the Race Pack.
